Questions and Answers/Clarifications:
**Any questions and answers  and/or clarifications that are posed during this bidding process will be added here**
(Updated 1/3/2024)

1.)
Question: When does the bidding window end?  UPDATED!

Answer: All bids need to be received no later than 11:59PM, Tuesday, January 9, 2024.

2.)
Question: Are you requesting a single panic button in the main office (fixed location), or are you wanting a portable panic alarm system that would be worn by District staff members that they would carry on their person (i.e. – worn on a lanyard or belt clip)? The “wireless activation from anywhere in school” comment threw me off here, so I just wanted some clarification on this.

Answer: As noted in the "Addendum" document, we have removed the requirement to add a panic button.  With that said, we will still accept a separately quoted panic button(s) for the main office as an "Optional Addon".

The panic button(s) ideally would have the ability to:

a.) initiate the access control system to go into “lockdown”

b.) physical interconnect to paging system (in IDF 2) to initiate mass notification/messaging

c.) interconnect with Bosch Security System to initiate a signal to monitoring company to notify police dispatch.

3.)
Question: For the emergency responder notification component, we would want to incorporate this into your Bosch intrusion system and program a new alarm zone. For the purposes of this RFP, are we to assume that we will program your existing intrusion system to support this requirement? If so, can you please confirm that your intrusion system is currently ACTIVE and monitored in its present state?

Answer: Our intrusion system is currently ACTIVE and MONITORED.  If you are able to program our Bosch Security System to support this requirement, you are welcome to include this in your bid.  Otherwise we will need to coordinate with our current security system vendor to get this part completed.  Please indicate on your bid whether or not you will program the security system or whether we will need to coordinate programming with our security system vendor.

4.)
Question: For the whole-school notification component, is the ask here to automate this task (i.e. – when panic alarm is pressed, an automated message plays through the PA system)? If so, do you want this component programmed and IMPLEMENTED under this RFP response, or, do you simply want the system to have the ability to support this in the future?

Answer: Please provide the physical interconnect between systems from a cabling / termination perspective.  The interconnect with the paging system will occur in IDF 2.  We will work with our paging vendor to provide the programming for the paging system.

5.)
Question: When the panic button is pressed, will this also put the access control system into lockdown mode?

Answer: Yes, we will want the ability for the panic button to put the access control system into lockdown.  If you would like to quote two panic buttons, one for general panic (notification only) and one for lockdown (notification and lockdown) that is acceptable as well.

6.)
Question: Regarding video intercom system: Your specs call out for Aiphone specifically. Can you confirm you will accept comparable products / manufacturers that meet the minimum criteria for your needs?

Answer: We will consider an alternative solution for a video intercom system as long as it has a physical viewing/response master station located in the office and mobile phone app integration.  If you are quoting licensing as part of this solution, please quote for "3 years".

7.)
Question: Regarding integration with our Security Intrusion System: For the integration with the access control system, are you wanting the card reader to disarm only, or both disarm AND arm?

Answer: As clarification, the system must disable the alarm when the first person of the day swipes the reader.  The alarm will remain disabled until it is automatically re-armed by the security system’s automatic re-arming schedule.

8.)
Question: Regarding integration with our paging system: Can you clarify what you mean by “tie access control system into paging system”? What needs to be accomplished with said tie in?

Answer: The desire here is for two-way communication.  (IE. Access control system can initiate emergency notification/messaging with Paging System and Paging System can initiate emergency lockdown with access control system).

9.)
Question: Can you confirm how many mobile credentials you would like us to include to support the requirements of this RFP?

Answer: If quoting an AMAG system, it is my understanding that advanced mobile licenses are a "per door" cost.  So, all doors with readers will need to be included.
